VAT Accountants in London

Value Added Tax is one of the most complicated areas of the UK Tax System and for businesses operating in London, getting it incorrect can be expensive. Whether you have just reached the VAT registration deadline or you are struggling with quarterly returns and MTD compliance, having a VAT accountant to help you out makes all the difference. At Lexarox Accounts, our team is supervised by HMRC and IAB (institute of accountants and bookkeepers) for Anti Money Laundering (AML) and offers comprehensive VAT services that keeps your business compliant and financially sound.

What is VAT and Why Does It Matter for London Businesses?

VAT is a consumption tax applied on most goods and services sold in the United Kingdom. Organisations act as collectors on behalf of HM Revenue & Customs (HMRC) along with charging VAT on their sales and collecting tax on eligible business purchases. The difference between the two is paid to or reclaimed from HMRC.

For the tax year 2025/2026, the UK operates three main VAT rates that are all verified by HMRC:

  • Standard rate: 20% – applicable on most of the goods and services that includes professional fees and electronic equipment.
  • Reduced rate: 5% – applicable on domestic fuel and power along with children’s car seats and a few energy saving materials.
  • Zero rate: 0% – applicable on majority of food and drink and books along with children’s clothing and public transport.

Getting to know which rate is applicable on your business is important as applying the incorrect rate can lead to HMRC penalties and assessments.

When Must You Register for VAT?

The VAT registration amount for 2026/27 is £90,000 of taxable turnover, calculated over any 12 month period. This amount was increased in April 2024 from £85,000 to £90,000 and has been confirmed by HMRC to remain the same for the tax year 2026/27. The deregistration threshold also evaluates at £88,000 for 2026/27. In case your taxable turnover gets down from this level, you may apply to HMRC to deregister.

HMRC applies two tests to check when registration becomes mandatory:

  • The Historical Test: At the end of every month, look back at the last 12 months. If your taxable turnover for that period is beyond £90,000, you have 30 days from the end of that month to notify HMRC and register. Your new VAT registration date becomes the first day of the second month after you corssed the threshold.
  • The Future Test: If at any point you have reasonable grounds to believe your taxable turnover will exceed £90,000 in the next 30 days alone. For example, upon signing a large contract, you must notify HMRC immediately, and registration takes effect from the start of that 30-day period.

Crucially, the 12-month window is not fixed to the tax year. It is calculated on a rolling basis, meaning businesses must monitor their turnover each and every month rather than only at year end. Failing to register on time carries serious consequences: HMRC backdates your registration to the date you should have registered and charges VAT on all sales made from that point, a liability you will have already collected from customers without accounting for.

Exception

There is one important exception worth noting. If your turnover temporarily exceeds £90,000 due to a one-off or exceptional project, you may apply to HMRC for an exception from registration, provided you can demonstrate that your taxable turnover will not exceed the £88,000 deregistration threshold in the 12 months following the breach.

Voluntary registration below the £90,000 threshold also remains available for 2026/27 and can be genuinely advantageous, particularly if your business incurs significant VAT on purchases and wishes to reclaim input tax, or if your customers are themselves VAT-registered and the additional credibility of a VAT number benefits your trading relationships.

At Lexarox Accounts, we assess your individual position carefully before advising on registration or deregistration. A poorly timed or incorrectly handled decision can create unnecessary administrative burdens and cash flow pressures, so professional guidance is essential.

Making Tax Digital for VAT: What London Businesses Need to Know

Making Tax Digital (MTD) is HMRC’s flagship initiative to modernise the UK tax system, and in 2026/27 its reach extends further than ever before. For VAT-registered businesses, the obligations are well-established: all VAT-registered businesses, regardless of turnover, must keep digital VAT records and submit their returns using MTD-compatible software. Manual re-keying of figures between systems is not permitted; digital links must be maintained throughout the entire record-keeping and submission chain.

MTD for VAT has been mandatory for all VAT-registered businesses since April 2022 and remains fully enforced. HMRC’s own evaluation, published in 2025, confirmed that digital record-keeping is reducing errors and that most businesses find MTD-compatible software straightforward to use. Non-compliance remains an enforcement priority for HMRC.

MTD for Income Tax Self Assessment (MTD for ITSA)

This is now live, having launched on 6 April 2026. Under Phase 1, sole traders and landlords with qualifying gross income above £50,000 (as reported on their 2024/25 Self Assessment return) are now required to keep digital records and submit quarterly updates to HMRC through MTD-recognised software, in addition to their VAT return obligations where applicable. The annual Self Assessment return is replaced by this new digital process.

Phase 2 follows on 6 April 2027, when the income threshold drops to £30,000, drawing in a further estimated 970,000 individuals. Phase 3, bringing in those with income above £20,000, is scheduled for 6 April 2028. It is worth noting that HMRC has confirmed late submission penalty points will not apply to quarterly updates during the first year of mandation under each phase.

Certain groups may be automatically exempt from MTD for Income Tax or eligible to apply for exemption, including those on grounds of age, disability, or religious belief, and those whose 2024/25 Self Assessment return included the SA109 supplementary page. Exemptions must be applied for directly with HMRC and are granted on a case-by-case basis.

The practical implication for many London businesses and self-employed individuals is that 2026/27 is a year of significant digital transition. If you are VAT-registered and your self-employment or rental income exceeds £50,000, you are now operating under both MTD for VAT and MTD for ITSA simultaneously.

At Lexarox Accounts, we are proud partners of QuickBooks and Xero, both of which are HMRC-recognised for MTD VAT and MTD for Income Tax. We manage the entire digital compliance process on your behalf. Starting from software set-up and digital linking to quarterly submissions and end-of-period statements.
